
Reporting to the Director of Recreation, the Recreation Administrative Assistant provides a wide variety of administrative and clerical support to the Recreation Department. The daily responsibilities will include being the front-line contact for Recreation Services at the Nick Smith Centre. The responsibility will be to answer general enquiries from the public, address complaints and direct enquiries to the appropriate person. The position will handle program registration, rental contracts, data entry, accounts receivable and maintain accurate files and records management systems.
The primary responsibilities for this position include (but are not limited to) the following:
Customer Service
· Provide excellent customer service support for the Nick Smith Centre clients:
· Answer inquiries by phone, email and in-person from the general public pertaining to recreation facilities, rentals, programs and events;
· Provide daily administrative and clerical support to the Recreation Services Department;
· Support facility scheduling such as ice rentals, dressing room assignments and park rentals;
· Receive requests and/or complaints, and keep record of details, information, notify appropriate personnel or departments for necessary action. Follow-up to ensure appropriate action was taken to resolve customer requests and/or complaints and update records accordingly;
· Build and maintain positive relationships with both internal and external customers;
· Be a contact for public enquiries pertaining to both Recreation and General Town services and how to submit feedback for Town Services and/or programs.
Administrative Services
· Provide administrative support for the Recreation Department:
· Maintain accurate filing and records management;
· Support the Recreation Administrator with customer service, administrative and clerical functions, and related special projects as needed;
· Assist the Recreation Administrator with facility rental contracts including and following through for signatures, managing liability insurance, and tracking and recording payments and processing renewals/terminations;
· Provide administrative support to the Director of Recreation and Operations Supervisor as assigned.
· Arrange logistics, amenities, and other resources required for meetings;
· Perform work in recreation software assisting customers with program registration, account setup, facility rentals and administrative reports.
· Perform work in records management system and complaint management system;
Financial Services
General
· Maintain information sharing with part-time Customer Service Representative staff members to ensure business continuity;
· Monitor common facility areas for any unsafe activities, and/or damage to property and report any concerns to staff for the appropriate action;
· Provide technological support to in-house TV systems that provides information on facility schedules, event and program promotion, and visibility for sponsors and advertisers;
· Support the operations of the Lending Hub program through equipment rentals, sign-in/sign-out of equipment and inventory support;
· Support ongoing training of Recreation Management software, records management and complaint management system;
· Perform work in accordance with applicable Provincial and Municipal legislations and regulations including the Occupational Health and Safety Act, corporate strategy, and in accordance with internal policies and procedures of the Town;
· Perform other duties and/or special projects as assigned.

The successful candidate will have a minimum of:
· Post-secondary courses with an emphasis in office administration, accounting, and/or related field.
· 3-6 months of experience in a similar work environment.
· Knowledge of administrative and clerical procedures and systems including managing files and records.
· Working familiarity of applicable Municipal, Provincial and Health and Safety legislation and with corporate policies and procedures to provide administrative and clerical support.
· Understanding of basic cash handling, and general accounting principles and practices.
· Proficient computer skills and ability to use various software applications including word processing, spreadsheets, record management systems, and accounting software.
· Effective communication skills (both written and verbal);
· Demonstrated ability to maintain a professional demeanor and confidentiality when handling public enquiries, multiple demands, and complaints;
· Ability to problem solve and relay department policy and program information to the general public/patron(s);
· Customer service skills with ability to assess customer needs to meet effective service delivery standards;
· Self-motivated and service orientated with helping others to provide excellent internal and external customer service;
· Ability to work independently and effectively within a team environment;
· Highly organized with a demonstrated ability to prioritize, set schedules, handle multiple projects and competing demands, and meet deadlines;
· Proficient computer skills including Microsoft Office (Word, Excel and PowerPoint) and ability to accurately maintain database record systems;
· Able to follow directives, and work within internal operating procedures, policies, guidelines, and adhere to applicable legislation and regulations
